AIFS Travel
1.Introduction
Travel services are offered by American Institute for Foreign Study (Travel) Pty Ltd trading as “AIFS Travel” (“AIFS Travel”, “we”, “our”, “us”). By purchasing, booking, or participating in any travel product or service supplied by AIFS Travel, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
These Terms apply to all bookings, products, services, tours, accommodation, transport, and travel-related arrangements supplied or facilitated by AIFS Travel.
Service Providers include, but are not limited to, airlines, tour operators, accommodation providers, transport providers, and third-party suppliers engaged by AIFS Travel.
AIFS Travel reserves the right to amend these Terms from time to time. Updated Terms will be published on our website and will apply from the date of publication.
2. Booking Amendments
All booking amendments are subject to availability and approval by the relevant Service Provider.
Amendments requested more than 14 days prior to the scheduled commencement date may incur:
- an AIFS Travel administration fee of AUD $50.00; and
- any additional fees, fare differences, or penalties imposed by Service Providers.
Amendments requested within 14 days of the scheduled commencement date may not be permitted and are subject entirely to the policies of the relevant Service Provider.
3. Cancellations by Service Providers
Where a Service Provider cancels a booking or service for reasons outside the control of AIFS Travel, we will use reasonable efforts to obtain a refund, credit, or alternative arrangement on your behalf.
AIFS Travel may retain an administration fee of up to 12.5% of the total booking value, in addition to any non-refundable fees charged by the Service Provider.
Any refundable amount received from the Service Provider will be remitted to you within 28 days of receipt by AIFS Travel.
4. Cancellations by You
Cancellations made more than 14 days prior to the scheduled commencement date will incur a cancellation fee equal to 12.5% of the total booking value, plus any non-refundable charges imposed by Service Providers.
No refund is payable for bookings made within 14 days of the scheduled commencement date unless otherwise required under Australian Consumer Law.
Refund processing times may vary depending on the policies and processing times of third-party Service Providers.
5. Force Majeure
AIFS Travel will not be liable for any delay, cancellation, change, loss, damage, or additional expense arising from events beyond our reasonable control (“Force Majeure Events”).
Force Majeure Events include, but are not limited to:
- natural disasters;
- severe weather events;
- pandemics or public health emergencies;
- acts of government or regulatory authorities;
- war or threat of war;
- terrorism;
- civil unrest;
- airline or transport disruptions; and
- industrial action or strikes.
Where possible, AIFS Travel will use reasonable efforts to assist with alternative arrangements; however, refunds, compensation, or reimbursements are not guaranteed unless required by law or provided by the relevant Service Provider.
6. Liability
To the maximum extent permitted by law, AIFS Travel acts solely as an agent for third-party Service Providers and is not liable for the acts, omissions, errors, defaults, delays, cancellations, injury, illness, death, property damage, or losses caused by those Service Providers.
Nothing in these Terms excludes, restricts, or modifies any rights or remedies available under the Competition and Consumer Act 2010 (Cth), including the Australian Consumer Law.
Where liability cannot be excluded, AIFS Travel’s liability is limited to the re-supply of the relevant travel service or the reasonable cost of re-supplying the service.
7. Assumption of Risk
Travel may involve personal risk, including risks associated with transportation, accommodation, activities, weather conditions, political instability, cultural differences, and remote locations.
By participating in travel arrangements booked through AIFS Travel, you acknowledge and accept these inherent risks and agree that participation is voluntary and undertaken at your own risk.
8. Travel Insurance
Comprehensive travel insurance is mandatory for all bookings arranged through AIFS Travel.
Your policy should include adequate cover for:
- medical expenses;
- emergency evacuation;
- cancellation costs;
- personal liability;
- lost or stolen luggage; and
- adventure or high-risk activities where applicable.
It is your responsibility to ensure your insurance policy provides sufficient coverage for your travel plans.
9. Travel Documentation
You are solely responsible for obtaining and maintaining all required travel documentation, including valid passports, visas, permits, vaccination certificates, and entry approvals.
Many countries require passports to remain valid for at least six (6) months beyond the intended date of departure from that country.
AIFS Travel accepts no responsibility for costs, losses, or disruptions arising from incomplete or invalid travel documentation.
10. Privacy Policy
AIFS Travel is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Personal information collected may include:
- your name;
- contact details;
- passport information;
- emergency contact details; and
- other information reasonably required to facilitate travel services.
Your personal information may be used to:
- process bookings and travel arrangements;
- communicate updates relating to your travel services;
- provide customer support;
- improve our products and services; and
- send marketing communications where permitted by law.
You may opt out of marketing communications at any time.
11. Disclosure to Third Parties
AIFS Travel may disclose your personal information to third-party Service Providers, booking systems, insurers, government authorities, and overseas partners where reasonably necessary to provide travel services.
Some disclosures may involve overseas recipients in jurisdictions with privacy protections different from those in Australia.
By using our services, you consent to such disclosures where reasonably necessary to fulfil your booking requirements.
12. Access to Personal Information
You may request access to, or correction of your personal information held by AIFS Travel, subject to applicable legal requirements.

13. Information Security
AIFS Travel maintains reasonable physical, electronic, and procedural safeguards to protect personal information against misuse, loss, unauthorised access, disclosure, or alteration.

15. Governing Law
These Terms and Conditions are governed by the laws of New South Wales, Australia. Any disputes arising in connection with these Terms will be subject to the exclusive jurisdiction of the courts of New South Wales.
